Terms & Conditions

Effective Date: 30 March 2026  ·  Applies to all bookings at RUEMA Cafe & Event Space, Bandar Sri Permaisuri, Cheras, Kuala Lumpur.

1. Booking and Payment

Advance Booking

The best time to book your event is at least 1 month prior to your desired date to ensure availability and proper planning.

Booking Confirmation

A 50% non-refundable deposit is required to confirm your booking. The remaining balance must be paid at least 7 days before the event.

Payment Methods

We accept cash, bank transfers, and credit card payments. No personal cheques will be accepted.

Event Duration

The rental fee covers the agreed event duration. Additional time will incur extra charges.

Package Add-Ons or Upgrades

If you wish to add or upgrade your event package, we recommend doing so at least 30 days before the event to ensure availability and proper arrangements.

2. Event Setup and Decoration

Setup Time

Access to the event space for setup will be allowed 1 hour before the event. Early access may incur additional charges and is subject to availability.

Decorations

All decorations must be approved by RUEMA management prior to installation. No nails, screws, or adhesive materials that could damage the walls or furniture are allowed.

Prohibited Items

Fireworks, smoke machines, confetti, and open flames (excluding birthday candles) are prohibited.

3. Catering and Beverages

In-House Catering

All food and beverages must be provided by RUEMA Café's catering service, unless otherwise approved in writing. Outside catering is only permitted with prior permission from RUEMA management.

Alcohol

RUEMA Café & Event Space is a halal-certified venue; therefore, alcohol is strictly prohibited.

4. Event Conduct and Behaviour

Noise Level

All events must maintain a respectful noise level. Live bands or DJs are allowed but must adhere to noise regulations. Events must conclude by 11 PM.

Damage and Liability

The event organiser is responsible for any damages to RUEMA property, equipment, or facilities caused by guests or third-party vendors.

Children Supervision

Event organisers are responsible for ensuring the proper supervision of children attending the event.

5. Clean-Up and End of Event

Clean-Up

The event organiser is responsible for ensuring that the space is left clean and tidy. Trash should be disposed of in the provided bins. Failure to leave the space in proper condition may result in additional cleaning charges.

End Time

Events must conclude at the agreed time. Exceeding the scheduled time will result in additional charges.

6. Cancellation and Refund Policy

Cancellation

Any cancellations made less than 90 days prior to the event will forfeit the deposit.

Rescheduling

Rescheduling is allowed, subject to availability, at no additional cost if requested at least 60 days before the event.

Organiser's Rights

RUEMA reserves the right to cancel or reschedule any event at its discretion due to operational needs, unforeseen circumstances, or other valid reasons.

7. Safety and Compliance

Fire Exits

All fire exits must remain clear and unobstructed at all times.

Capacity Limit

The event must not exceed the agreed-upon guest capacity, as specified in the booking contract.

8. Third-Party Vendors

Vendor Approval

All third-party vendors (photographers, florists, etc.) must be approved by RUEMA management prior to the event.

Vendor Responsibility

The event organiser is responsible for ensuring all vendors comply with RUEMA's policies and regulations.
